Peer Review Process / Policy

Peer Review Process

All submitted manuscripts must be original and will go through a double-anonymous peer review process to ensure fairness and objectivity. The initial screening is handled by the Editors, who will assess the manuscript based on the Authors' Submission Checklist (including adherence to Article Templates and Instructions). If the manuscript meets the journal's basic requirements, it will proceed to the peer review stage.

At least two independent reviewers, selected for their expertise in the relevant field, will evaluate the manuscript. Editors base their decisions on the reviewers’ feedback and may request revisions before making a final determination. If needed, a third opinion can be sought to resolve any conflicting recommendations. The final decision made by the Editors is definitive and cannot be appealed.

As part of the submission process, the journal uses TURNITIN to check for originality. By submitting your manuscript to Lentera Pustaka: Jurnal Kajian Ilmu Perpustakaan, Informasi, dan Kearsipan, you are agreeing to these originality checks during the peer-review and production phases.

Initial Screening

When a new manuscript is submitted, the Editor-in-Chief receives a notification through the journal's online system. At this stage, the Editor-in-Chief evaluates whether the manuscript meets the journal's basic criteria. Manuscripts that fail to meet these standards—such as relevance, formatting, or originality—may be rejected outright at this stage.

Peer Review Process

Once the manuscript passes the initial screening, it is assigned to at least two reviewers based on their expertise, verified by their research profiles (e.g., Scopus, Google Scholar, Mendeley, Publons, or ResearchGate). Reviewers are expected to provide constructive feedback and submit their evaluations within two weeks. If a reviewer is unable to participate or doesn’t respond within a week, a new reviewer will be invited.

Reviewers will complete an evaluation form and provide detailed comments. Once at least two reviewers have submitted their reports, the Editor-in-Chief will review their feedback and decide to:

  1. Accept the manuscript,
  2. Request revisions, or
  3. Reject the manuscript.

If an editorial team member submits a manuscript, they are excluded from any decisions regarding their submission to maintain objectivity.

Authors' Revisions

If revisions are required, the Editors will provide authors with a decision letter that includes the reviewers' comments and specific recommendations for improving the manuscript. Revisions can range from minor to major. Authors will have the opportunity to address these comments and resubmit their revised manuscript, along with a list of changes made in response to the feedback.

The time given for revisions typically ranges from 1 to 4 weeks, depending on the nature of the requested changes. However, authors may request an extension if needed. If no revisions are submitted within the given timeframe, the manuscript may be archived.

Editorial Decision

After receiving the revised manuscript, the Editors will reevaluate it to ensure all reviewer comments have been addressed. It’s important to note that a request for revision does not guarantee acceptance.

Based on the evaluation of the revised manuscript, the Editor-in-Chief will make a final decision, which can be:

  1. Accepted – The manuscript is ready for publication.
  2. Rejected – The manuscript is not suitable for publication, even after revisions.

Authors will receive a confirmation email regarding the decision. If the manuscript is accepted, further instructions for the next stages will follow.

Copy-Editing, Layout, and Proofreading

Once accepted, the manuscript undergoes copy-editing and is typeset for publication. Authors may be asked to make corrections based on the copy-editor’s feedback. A PDF proof will then be sent to the authors for final approval.

All manuscripts will also go through language editing to ensure clarity and consistency. Authors may need to use a professional English editing service and provide an editing certificate if requested.

Changes After Publication

Authors must carefully review the final PDF proof before publication, as changes cannot be made to the article after it is published online. If critical errors are identified after publication, they can only be corrected through a formal Corrigendum or Erratum, which will be electronically linked to the original article.

Reporting Standards and Data Access

  • Authors must ensure their research results are accurate and clear.

  • Include enough detail and references so others can replicate or build on the work.
  • If editors need extra data during the review, authors should be ready to share it.

Originality, Acknowledgement of Source and Confidentiality

  • Manuscripts must be original—no plagiarism allowed.
  • Authors must properly cite any work that influenced their research to give credit where it's due.
  • If using confidential information (like conversations or private correspondence), authors must obtain consent before including it.

Multiple, redundant, or concurrent publication

  • Authors cannot submit the same research to multiple journals.
  • Avoid re-submitting published work unless it's part of a thesis, lecture material, or a preprint.

Authorship of the paper

  • Only list people as authors if they’ve significantly contributed to the research.
  • Clearly outline who did what using the CRediT taxonomy.
  • The corresponding author is responsible for ensuring all co-authors are on board and approve the submission.

Conflicts of Interest

  • Author must disclose any personal or financial conflicts of interest—or confirm they have none.

Fundamental errors in published works

  • If authors notice a major error in their published work, they must inform the editors right away so it can be corrected or retracted.

Image Integrity

  • Authors can adjust images for clarity, but they must not manipulate them in a way that misrepresents the data.

Publication Ethics for Reviewers

Contribution to Editorial Decisions

  • Peer review is a key part of science—it helps improve papers and ensures quality.
  • Reviewers must treat the authors and their work respectfully, just as they’d want their own work to be treated.
  • If reviewers feel unqualified to review a manuscript or can't do it for some reason, they must notify the editor and decline.

Confidentiality

  • Reviewers must not share or discuss the manuscript with anyone unless the editor gives permission.
  • If reviewers are co-reviewing with someone else, they must ensure it’s cleared with the editor.
  • Reviewers must not use any unpublished ideas or data from the manuscript for their own research.

  • Reviews must be fair and free of personal biases.
  • Criticizing authors personally is unacceptable—focus on the work.

  • Manuscripts must be evaluated based on their content—not the authors' background, race, gender, or beliefs.
  • Editors must ensure all parties (authors, reviewers) understand what’s expected of them.

Confidentiality

  • Editors must keep all submissions and communications confidential.
  • They must not use any unpublished content for personal research or advantage.

To ensure originality, all submitted manuscripts will be screened using TURNITIN before entering the review process. Manuscripts with a similarity index of less than 25% will be considered for further processing. Any instance of plagiarism, regardless of the extent, will result in immediate rejection of the manuscript.

For a manuscript to be deemed plagiarism-free, it must meet the following criteria:

Proper Paraphrasing

When referring to the work of others, indirect quotations must be paraphrased thoroughly using the author’s own words. Copy-pasting or typing the original source word-for-word is strictly prohibited. Additionally, proper citation of the source is required in line with scientific writing standards.

Direct Quotations

If directly quoting another work:

  • Quotes with fewer than 40 words must be enclosed in quotation marks.
  • For quotes exceeding 40 words, the text should be formatted as a block quotation (indented and with a different font size).
Citing Original Sources

Any ideas, concepts, or information derived from other sources must be credited appropriately, regardless of whether the source is published or unpublished, oral or written, and irrespective of the medium in which it appears.

By adhering to these guidelines, authors ensure that their submissions maintain academic integrity and comply with ethical writing practices.

Generative AI Policies

This policy is based on and refers to the guidelines outlined in the Generative AI Policies for Journals provided by Elsevier, which can be accessed at the following link: https://www.elsevier.com/about/policies-and-standards/generative-ai-policies-for-journals.

To ensure transparency, integrity, and accountability in scholarly publishing, the following policies regarding the use of generative AI tools are implemented for authors, reviewers, and editors involved in the journal process:

Responsible Use of Generative AI by Authors

Authors may use generative AI tools (e.g., ChatGPT, GPT models) for specific tasks, such as improving grammar, language, and readability of their manuscripts. However:

  • Disclosure Requirement: If AI tools are used, this must be explicitly disclosed in the manuscript, either in the Methods section or Acknowledgments. Authors must specify the tool used, its version, and how it contributed to the work.
  • No Authorship Credit: AI tools cannot be listed as authors since they lack accountability, decision-making abilities, and the capacity to take responsibility for the published work.
  • Prohibited Uses: Generative AI must not be used for creating or falsifying data, conducting analyses, or interpreting results. Authors must maintain full responsibility for the accuracy, validity, and originality of their work.

Use of AI Tools by Reviewers and Editors

  • Confidentiality: Reviewers and editors must not use AI tools to process or evaluate unpublished manuscripts. This is to protect the confidentiality and intellectual property of authors.
  • Human Oversight: Editors may use AI tools for operational or administrative purposes, such as plagiarism detection or grammar checks, but decisions regarding acceptance or rejection of manuscripts must remain a human responsibility.

Limitations and Risks

  • Accuracy of AI Outputs: AI-generated content may contain inaccuracies or fabricated information. Authors must thoroughly validate and verify any AI-assisted outputs used in their manuscripts.
  • Plagiarism and Ethical Compliance: The use of AI must comply with existing plagiarism and ethical guidelines. Generative AI tools should not contribute to the replication or appropriation of other works without proper attribution.

Review and Enforcement

  • Editors and publishers reserve the right to request details about the use of generative AI during the manuscript preparation process.
  • Manuscripts found to have undisclosed or inappropriate use of generative AI may be rejected, and appropriate ethical actions will be taken.

By adhering to these policies, journals aim to uphold the integrity and quality of scholarly communication in an era of rapidly advancing AI technologies.
